Accounting
Invoices, receipts, assets and bank reconciliation — including shared and per-member books.
Accounting covers quotes and invoices (income), receipts and assets (expenses), and reconciliation with your bank account. All documents link to the same clients and bookings as the rest of the application.
Income: quotes & invoices
The foundation is the sender (Settings → Billing) with company details, bank account, default tax rate, invoice design and numbering. One account can run several senders, for example for separate brands or members who bill separately.
- Created from the booking: the booking's line items carry over; a quote can be converted into an invoice. Deposit and final invoices are settled against each other.
- Numbering: invoices and credit notes share one sequential, gapless number range per sender; quotes keep their own. Issued invoices are immutable; corrections go through credit notes or cancellation.
- Delivery and payment: every issued invoice has a PDF and a public link. Payments — including partial payments — are recorded per document; early-payment discounts and rebates are supported.
Plan-dependent: the number of invoices is limited depending on the plan. The invoice API for importing from external systems is a separate plan feature.
Expenses: receipts
Receipts can be entered manually, photographed, or forwarded by email to the account's receipt address. Automatic receipt recognition extracts amount, tax rate, supplier and category; values are reviewed and corrected as needed before posting.
Plan-dependent: the number of receipts and the monthly quota of automatic recognitions depend on the plan.
Assets
Long-lived purchases are tracked as assets with purchase value and useful life, and are collected in a running register.
Plan-dependent: the PDF export of the yearly asset register is a Pro feature.
Bank reconciliation
Bank statements are imported as CSV and matched against invoices and receipts. Column mappings for recurring formats are stored as import profiles; reconciliation suggests matching receipts.
Plan-dependent: automatic (AI-assisted) reconciliation has a monthly quota depending on the plan.
Shared and per-member books
By default an account runs one shared set of books: all members see and edit the same invoices, receipts and assets.
For accounts where several people bill independently, per-member books can be enabled (Settings → Accounting). The following rules apply:
- Every member keeps private books: their own senders, invoices, receipts and assets. Other members have no access to them by default.
- Access is granted explicitly per colleague — separately for reading, creating, editing and deleting. Without a grant there is no access; this applies to account owners as well.
- The sender determines ownership: an invoice belongs to the books its sender is assigned to. Shared (unassigned) senders remain possible; both forms can coexist.
- Existing data stays shared when the setting is enabled; only newly created private senders and their documents are separated.
Plan-dependent: per-member books are a Pro feature and additionally have to be enabled by the account owner.
